We changed co-ops 16 months ago and as a result function RCIN to change a stock number has become a popul= ar function. I have always been happy with the fact that the stock number gets updated everywhere, IMU, MPO, IPC, ect. I was quite suprised when = I started selling my Scotts 4 steps this spring that strange things showed = up on my boot log. RCIN does not update kit records. when i checked MKR the old stock numbers were still there with a message that these item are not= in the system. I had to change each kit record manually and none of the sales info was recorded on the kit components. something to look out for. I had also forgotten about this option, and ran into the same problems with some of our kits. You'll need to clean up those kits manually now, but in the future use option "K" when changing SKU numbers (especially if you have lots of kits). I asked several Triad people if I had software capable of giving me updated QOH's, and was told I'd have to wait for my copy of level 20 software in order to take advantage of this feature. Yesterday, in talking to another dealer, I was convinced to try it .... it works .... today I called the advise line to check to see if my memory was correct, and was again told that my level of level 18 software did not have this feature. Any of you who have level 18 and would like to see if you can have your Triad update the QOH's in your RDC can follow the following series of steps and maybe you too can check QOH's without having to call and talk to someone at Tru-Serv (or use your PC to call in to the Chicago computer). In COTUTL, enter your Member #, Store#, and RDC# (if multistore, enter each of your stores' numbers) In MTC, display COTRDC and enter the following info: PARPHONE1=18005623793 PARPASSWORD=PASSWD PARMEMBER#=XXXX-X Hit add, or change. Run ERDC using control string COTRDC. You'll want to make a QUE with ERDC and add it in SEQ to your EOD report que to update daily. The download takes just a few minutes, and gives you up-to-date QOH's, accessible from CAT and MPO. This is great information, as you're working on special orders, or want to be reasonably sure you'll get an item with your next order, and should be another nail in the coffin of microfiche (except that for some strange reason, EFM still does not update CAT's costs and prices!) Maybe what they really meant was that level 18 did not support the central ship information. I almost believe that level 18 may have listed C/S items as not available to you at all while in fact you could get them from C/S. I can't echo Jay's suggestion to set up the RDC QOH routine on a que. I call it "burying a function" so I don't have to worry about it any more. It just goes automatically. It works very well. My RDC balance que starts at 5am every day. Speaking of C/S, I had 5 items in a C/S box yesterday. What a development... Speaking and C/S and ques, I have had ERP running on a que for several years. As software changes, I rebuild the que. This is always a good idea as I think ques do not pick up the lastest versions of programs in the system. At the very least, new options will be ignored and it is good to check them out. RQR's must always be redone.... Anyway, has anybody figured out how to make use of the "new" purchase order feature on the TruServ A-Copies? I have been using two sets of standing purchase orders with an ERP que for each one. Because ERP must have specific purchase order numbers to run, I would have to run a new ERP report for each series of purchase orders. That's another thing for us to screw up.... I've been working with the authors of the program, and running some tests (you might have seen some test messages trickle out to the list), but so far no solution to the problems. Actually, there is a solution, which is to remove the program and database and reinstall. This means that the "old" messages that were posted by participants will go away. Your user info will also go away, which means you will need to enter a user name and password next time you visit. The board was beta, and set up as a trial anyway, so I'm planning on doing a fresh install next week when the final software release is out. Until then, we'll have to rely solely on the old-fashioned Hardlines Digest. I'll post an update when the Webboard is set up again. Anyway, we're using it and love to have it, just wish I'd known it was on my system when I first inquired about it 6 mos ago. Oh, and yes, by all means this is a function that belongs in your SEQ que to be performed automatically nightly (never touched by human hands!) We've been using two PO's for our weekly delivery for about a year now to separate our general merchandise from merchandise that was ordered specially for customers. That way, my receiving people can quickly pull the items we already have sold, and get it to those customers. Special order items have a different invoice #! Of course there may be other reasons that you can think up for categorizing into different PO's ... like having a different PO for each department, and shipping the product directly to that department without even opening the tote boxes for quick shelf stocking, etc. We ERP all four invoices (two PO's) X (Hub plus Main distribution center) in one pass for receiving (on a SEQ automatic que). The store crew had eaten the cake brought in by the resident baker the afternoon before. I had had only one piece. It was cold and damp outside. I couldn't remember the hidden failsafe option to make ERP work. My desk was a mess. My Father's basset hound had rolled around in something which must have come from a rendering plant. He spent the morning sleeping under my desk. Bill Clinton left Africa to return to our fair shores. The TruServ A-copy invoices would not balance. They displayed a new and disquieting feature. Did I miss something? There is apparently a new merchandise substitution program where you order a sku and they ship you another, but ERP posts the sku you ordered instead of the sku you were shipped... the retail on the price tag for the item you were shipped is really the retail for the item you ordered, but not the retail you already had on the item you were shipped which was already in your system... but not ordered. If the item you ordered was discontinued by TruServ, the substitute would be shipped in its place. If you had both old and new skus in your system, then the old sku was posted but the new sku shipped to you was not. If the new sku was not in your system, then the old sku would not be receipt posted, and the effect would be that an item passed through your backroom which would not scan at POS and the process would be repeated the following week when you ordered more merchandise... to fill in what you thought you didn't get... but actually did... but which showed no sales... I must be getting confused. The skus in question had a printed notation on the second line in the promotion price column. It said something like (SUB FOR: 123456). This was where I found the sku I had ordered... usually. There were a few other things involved. Once I fixed them, the purchase order balanced within four cents of the a-copies. I posted the mark-outs and the exceptions, then ran the RRP to post. Can you follow that? The program was introduced to all members on March 13th. It is one of those "everyone is included" things where the person who wants out must call or write TruServ to be excluded. Please tell me this is a self-delusion, that it didn't happen. It was all a dream.... My first concern was the Ship Later disaster, which caused all my ship laters to be doubled, and all my "999" cancel ship laters to be ignored. A bug at TruServ related to the new PO # scheme for A-Copy. A note from TruServ stated that the new code has been removed for further work. Meanwhile, we're sending all the dupe and cancelled stuff back... quite a lot of it actually. Seems that the week SL breaks down is the week that all the backorders get back in stock. In other words if a person wanted a 12" x 12" piece we might charge for a 36" wide by 12" piece since it comes in a 36" wide sheet. This would eliminate the waste. If I think I'll only be able to sell the remainder for $1. then that's all that I'll discount the sheet. I also have found that anyone capable of learning to cut glass & plexi is usually capable of figuring out a fair cost. In 1992, we installed a Triad on a 386/16 with 8 Meg RAM running 2 tils, 2 invoice printers, 2 back office terminals, a report printer, and a modem using up our 8 ports. We were paying $1100 a month for the lease and $500 a month for support. As of May, we paid off the lease, paid $5000 to buy the equipment and terminated our support. Repeated efforts to upgrade at a reasonable price were not successful as it would have cost us $18000 to add 2 more terminals according to Triad. I turned the console into a terminal, and have all invoices going to one printer and used the other port for a terminal. For $1051.00 we upgraded the computer to a Pentium S 200 w/64 Meg RAM. The system moves along much better during busy days. We are presently on Level 18 and looking forward to Level 20 for being 2000 compliant. We use the Accts Payable module, but it has a lot of discrepancies that cause us to curse it fairly often. I was turned on to Cornells newsletter a few days ago by Craig Good of Good True Value Hardware in Juneau, Alaska. Craig has been an extreme help lately in showing us different ways to deal with inventory. Because of him, we recently upgraded 4000+ SKU's with correct dept, class, and fineline using FIL and RFL. In talking to him and to Dan Graves of Valley Lumber (who also has a Triad), both use QuickBooks to do their AP. I haven't done anything in AP since upgrading to Level 18 last weekend, so I hope they simplified some procedures in AP since Level 17. I have been reading past issues of the newsletter and It's hard to "put it down" and go to bed at night! I want to comment on just about everything I see. We had cut so little in the past that our present policy is to order for resale different sizes and sell the cutting tools to the customers. Some elderly and handicapped customers are treated differently, and one of our clerks will offer to cut their plexiglass for them as a friendly favor. In actual day to day affairs, I have restocked shelves, placed orders, helped customers, washed windows, shoveled snow, repaired roofs, delivered lumber, taken out the trash, cleaned up messes, vacuumed offices, and any other thing that needs to be done when there is a shortage of personell. I am just another employee, another cog in the wheel, no more important and no less important than anyone else. This winter, our AP gal took the winter off and I stepped into that position. I ran AP, wrote and modified software for our pc's, learned how to network computers together, and answered questions or made decisions with the rest of the employees. Our group is like a close knit family. When we hire, everybody has a say, afterall, everyone will work with that employee at one time or another. Consequently, when I get cranky or bitey, the rest of the crew is quick to call me on it and put me in my place. But, more often, they come to me with questions or to help with decisions out of respect for my knowledge and judgement. In order to keep that position, I must set a good example as do each and every employee. When I take out the trash, I have had to ask for suggestions or information from an employee that has done it more than I. A manager must care about the business enough to get his hands dirty at all levels. In following Mr. Rounds comments in previous newsletters, it sounds as though his management style is close to mine and we are both well aware of how each dept keeps the business afloat, all the way down to balancing the ERP. As a constant student of management (as we all are), you should visit more "ma & pa" or 10-20 employee businesses. I have asked Triad for years to put a few database utilities on the system to help us out at the service desks. It goes right back to the glass cutter. How many times have I seen a huge scrap piece on the cutter? A clerk takes a 36 x 36 piece of glass to cut a 12 x 12 piece for the customer. At least they usually charge the customer for the full piece. If 12 x 12 is the desired size, shouldn't a quick peek at the chart reveal the 12 x 16 as a better choice? I am very disturbed by this. It would be nice to have a function which the clerk could access to find the product needed, and then be guided through the pricing and "optimization" necessary to make the sale. Same thing with keys. I've talked and written that one into the ground several times over the years. A paint calcuator would be real nice, too. I think John Fix has one on his web site somewhere. I would steal it if I could ever figure out that .HTML stuff. The greater issue here is giving the guys on the floor the tools they need to provide a level of service which our customers stroll into our stores expecting. If we don't provide this, then there will be fewer reasons for customers to shop our stores. K-Mart, Home Depot, Wal-Mart, the supermarkets, the malls, all of them... seem to have anticipated the short-comings of the "Rikki Lake nation" retail help situation. Minimize the need for lots of hands-on customer service, put the money into management to actually do the critical stuff, and structure the rest of the store to the lowest common denominator. This means they are able push the minimal skill, lower-wage people though positions where everything is deliniated and nothing is left to chance... or thought! Just stroll down the aisle of the average Toys'r'Us or K-mart and see the PEG-MAN sheets used to create the displays and keep them in shape. The tools we need to address problems on the sales floor can't be too hard to put together, but for some reason most system vendors have failed to offer them. We are talking about basic issues here. Running the cash register. Selecting and Cutting keys. Finding the right size piece of glass. Recommending the right number of gallons of paint, and so on. Here are a few items for discussion, thought, maybe even ACTION? 1. I've screamed for "custom help" screens for years. I'll have to make my own. I have put a WORD document on my PC server called "Round's Triad Help." I've started putting the things in this which I forget. Things like using the # sign in the select fields. I can never remember which way it works. I have an icon on my Win95 desktop called "Round's Triad Quick Help." I alt-enter-key out of a Triad screen and hit that icon and I am in the "help." I have not put this on the sales floor for anybody else. The first line might be "check the triad help screen." 2. I bought the Lotus "ScreenCam" product after seeing it used at the Triad EdCon in Las Vegas. It's $99 through the discount software places. I have tested it out using the windowed-DOS screens of the terminal emulator. It works. What it does is allow the user to record commentary, screens, and cursor movements for an application. This can them be played back as a self-executing file. It is possible to create the screen-based training you've always screamed for-- starring yourself-- for your staff. Click the Icon in the "training folder" marked TRIAD IMU screen and get a standard demonstration you've given new-- and long-time-- employees for years. Damn, I am going to do one for POS. If it works, I will sell it. The drawbacks are the same for any audio file-- it will get huge. As my wife says, I have no greater joy than listening to myself talk.... 3. Someone out there must have done up little applications for glass, screening, paint, and keys. These would be excellant for the service bench. 4. The front page of the Wall Street Journal this morning suggests that it took decades for electricity to pay off in industrial applications once it was introduced; the same progression might be in store for the computer... at least in our industry. Let's face it, any system operating in any of our stores is limited to inventory control, book keeping, and word-processing. We have not seen the big pay-offs in automation investment dollars which other industries may have seen, and certainly nothing akin to the industrial change from over-head belt and pulley drive systems to individual electric motors at each workbench. I have been paying closer attention to this area lately, triggered by my filling in for the receiver on the TruServ orders one week. What I saw was not pretty, and I immediately pushed for using the Scanning gun to receive orders as a way to prevent disasters at the front desk. I have a part timer who can jump from cashier to receipt poster to cash balancer; she usually covers the receiving. Trouble occurs when her hours (around child care) don't quite mesh with the rest of the operation (when the TruServ Truck is two hours late). We do two orders per week, and I think it is always easier to do up a new order when the previous order has been receipt posted... I don't think a lot of people are doing anything with ERP except running it to the spooler and receiving the order with RRP option F, regardless of who is responsible in the store.... I do not handle the receipt postings, cash balancings, payroll, A/R, A/P, personnel, or scheduling, as a rule. Some of our customers expectations are really absurd. On glass and plexiglass we have the triad lumber package, and can therefore charge by the square inch. We mark up glass and plexiglass 2 1/2 times to make up for the cutting and waste. We round up sizes to the nearest even inch. We do not keep actual inventory on plexiglass or glass. We have some waste, but figure it is offset by the markup. We sell glass by size also, with the same markup, just to keep track of sales by size to determine which are the popular sellers. We sell plexiglass by size also, and only mark it up 100 percent. That usually encourages people to take sheets, saving us cutting it. On plywood and other sheet goods we sell only full or half sheets, and markup the half sheets by only $.75. Only very rarely has someone complained about the extra charge. We also make straight cuts for $.75. We also cut boards to size for the same fee. Bill, I ran Quickbooks for a few weeks, but found that it did not provide the level of detail I wanted for A/P. There was no way to set up a "pay to" vendor, and with all the business I do with TruServ I was not willing to lump all those purchases under one vendor. I like to know how much we buy from Rubbermaid, National, etc. and QuickBooks could not break that out easily. There were some workarounds, but I'm already using enough of those in the business. Very funny and yet also very informative. First I would have to take issue with Bill Round's assertion that we have not yet seen big advantages from the introduction of the computer into our hardware stores. I still remember making up hand charge slips, walking the store with a sheet to try and figure out what needed to be ordered and then transmitting the order either with a push button phone or calling it in. I even remember hearing of one mechanically proficient store owner who had rigged up a small computer and a bunch of relays which would enter his order into a Texlon. The number of mistakes back then were unbelievable and with less than half the line numbers of todays orders. We used to start closing our month arund the 15th, so that our bills would be ready to be sent out on the 1st. I now run my invoices the morning of the day they are sent out. Also, where ordering was just a guess of what you might neeed before the next delivery was received, now at least you have the means of making a much more intelligent guess of your anticipated sales. But, like most advances, computers are not a panacea. They do not make all of our problems go away. And they still require a lot of our time to set up and get operating properly. One of our problems today is that in order to be price competitive with the boxes we have had to lower profits to the point that we can not make any mistakes about ordering or operations. Margins are much too low. Also, we can not afford to pay, even if we could find it, help good enough to take over some of the daily chores so that we could concentrate on other areas. So we make do with the help we can afford, but that necessitates our constantly monitoring their activities. There are some features on the Triad which could be used to accomplish the help features Bill talked about. I have begun to play with the MED files which have tremendous application. You could create a SKU called PAINT which when called up as IMU screen D would give the formula for calculating paint coverage. It is not very difficult anyways. I use it now with hollow cardboard tubes to give the amount of concrete mix required. By the way, putting # in the codes select location means blank. And the y or n options give you all blank or no blank. For example if you designate seasonal items by the season, selecting # and y would return all those items which are non-seasonal or not designated as seassonal. But what you really need, Bill, is a module for your employees which would enable you to input into them all of your knowledge and motivation. But having met you, you seem to be the type who insists that no-one else can do it as well as you, and you are probably right, but you also refuse to accept anyone else not doing it as well as you, so you do it yourself. The world will not end just because an item was received with the wrong sku or mupc. But unfortunately life in the age of the Boxes seems to be no longer enjoyable unless you are in the very fortunate position of having a store large enough to compete with the Boxes. Two more small stores in my area just closed up. My hopes are with the fact that I am also a lumber yard, and some good economic news is in the process of being made - a $5.25 million dollar local public investment with the promise of $9-10 million private including a large manufacturing facility, a 64 unit elderly housing complex, plus a multimillion dollar school modernization plan and a small school expansion plan. Plus the large residential growth boom that has been moving up from Boston is about to hit. On another subject: To you TruServ members: I got my price changes downloaded thru Triad and was looking over them. In Lawn & Garden department, most of the items had reduced retails to almost cost. A couple items actually had retails below replacement cost. Does anyone know if this was a mistake, or an update of the EVERY DAY LOW PRICE (formerly Pinpoint) system? On the EDLP subject, Triad went to a lot of work to develop the EDLP (pinpoint) prices using the promo system and getting them downloaded direct to our computer as DM40. Now it seems that the new TruServ buyers either do not want to do it that way or don't know how to do it that way. It seems that normal retail is now the EDLP as sent via price changes. If I use Request instead of an RIS flex report I can squeeze more on each line and more lines on each page saving 80 pages in the printout I lug around the market floor and have better information to boot. The problem is that the SKU field is 14 characters long and numeric SKU's are right justified and alphanumeric SKU's are left justified. I hate to print all 14 spaces so I tried this: IF SKU <'9999999' THEN SUBSTRING FROM 8 FOR 7 TO SKUL ELSE SUBSTRING SKU FROM 1 FOR 7 TO SKUL. This puts all my SKU's into 7 spaces and seems to work great most of the time. A few alphanumeric SKU's don't print at all. I tried numerous variations all missing the same few SKU's. I've wasted time I don't have right now. It occurred to me that my IF THEN SUBSTRING command may be all right and my inventory file is at fault. I've had trouble with my National file in the past although National seems fine in this report. I do que in a cleanan once a month. I don't run cleanin as I am not sure what that does. I have a single store installation. If anyone has a better way to do this or has a fix for my bug I would appreciate the help. They finally fixed Proximo terms in the terms codes to accept discounts! (Level 18). Can't understand why they programmed it the way they did at the beginning. Now all they need to do is allow you to back space to a previous field and correct it rather than pressing clear and starting all over, or finishing the record and then going back to change the error. (Yup...the faster I go, the longer it takes). Also, being able to print a check on prepaid ATMU entries looks interesting. I may try it out tomorrow and see how it works. Normal check runs are kind of a pain with all the things they have you do (Press RUN Press ENTER Type DONE and press ENTER ... etc). Quickbooks is so much simpler, but had problems dealing with some kind of report to get entries on paper after entering without printing all the others that had been entered. It does wonderful as a check register. We are going to try it out on payroll sometime down the road. Sharing Human Resources: I like the idea of going to another hardware store and working for a week. To make the most of my time there, the people I would be working for would need to set up a schedule of jobs to be done. This may be hard for some as time is at a premium and many of us don't even take sufficient time to properly train new employees. Also, some of us are getting more specialized and have forgotten how to do certain jobs. Today, for the first time in quite a while, I covered the front tils for an hour and was pretty slow. I haven't filled out a fishing license for quite some time, and that was the first thing that came up. Oh, well, look at the last one filled out and refresh the old memory. A few apologies for being slow and voila...I did it. Mix paint? Not a problem with that one but passed it off. Run over and open up the lumber yard for a customer? Could do that but passed it off also. Request for 20" girls bike? None in computer so grabbed the Cotter S finelines catalog, picked a couple of nice girls 20" bikes and entered them in IMU to come up on tomorrows order. Sold some zincs for a boat outdrive, a couple of CD's, some nuts and bolts (Yup, we have SKU's on all nuts and bolts), and finally a 16' 2x10 douglas fir board to a guy that was going to make a bar top with it. Then it was closing time. Counted the tils and came out a little more on both (probably due to the Canadian money). Closed out the credit card machine, (I thought the other employee had been trained on it, he thought I knew everything....WRONG). Well, we found the book. We found the section for manually closing out the machine. Followed the instructions and closed it out......what?...no report? Read a little further and found how to print the batch and success. Started backup on the Triad successfully. Had a great talk with the other employee of why we enjoyed working here so much...every day is different. Made sure the store was secure, shut off the lights, locked up, and left with a smile on my face. So....sure....I would like to work for one of you folks out there for a week or so for no pay. See how other people operate and how I could improve our operation and maybe leave some tips on how to improve theirs. I would enjoy having some of you up here. You can drive 1500 miles north of Seattle, or fly Alaska Airlines from Seattle to Juneau (2 hours), and then Skagway Air (Which we also own) to Skagway(45 min). Kinda get an idea why we decided not to attend the show in Dallas this year? If you are on vacation in Alaska, drop by Skagway and see us. RTX: Want to know what I did before my last hour of the day on the tils? I was handed the City of Skagway Sales Tax form for the 1st qtr 1998. No problem! Go get the RTX reports that printed out on monthend. What??? The January RTX had all zero's (why didn't someone say something earlier? They did, but we are off Triad support and they wouldn't help us and the manuals don't say anything about that problem.) What??? The February RTX report had only totals??? Now I'm very suspicious of March's RTX. These are automated reports and have run fine up until January and February. Today, I pulled out the RDJ reports for January, February, and March and am adding up the amounts for EACH DAY! I'm half way through, should finish tomorrow. I have a check run tomorrow, and I have to fix a software bug in the Air Service's computer (charging excise tax to Alaska Airlines when they are supposed to be exempt). I have to try to figure out why it takes 10-15 minutes to print a fax from Bitware Fax program to our HP Deskjet 692C printer. Tomorrow will go by fast. Does anyone know how to get a tax report other than with RTX? It would sure save me some time! Well, I am taking my 11 year old son on a camping trip tomorrow night, I have to put a new starter in my Jeep on Saturday, get the Elks newsletter out, get the Emblem Club State Convention booklet out, and get ready for the TruServ Town Hall Meeting in Anchorage on Monday....all this weekend. The circular group had questions on the circular; ie:Can TruServ put a sample flyer in with the order books so we can get an idea of how the layout is going to be and what will be on the front page. We get one with the DA order books from Jensen Dist. out of Spokane. The inventory group had questions on different products being available on the east coast but not on the west coast; ie: stove pipe selection. We even have a complement on the improvement of shipping from Portland DC to Seattle docks. We were missing half our orders on each shipment and getting freight destined for other stores in southeast Alaska. We'd send in a claim and the next week we would receive the freight totally unexpected. Come to find out, that they would mix the frt for Seattle docks with frt for other locations in Seattle. The pallets would be put in the truck hodge podge and they would unload some of the ones for the docks in Seattle, go make other deliveries, and then come back to the docks after the barge had left and unload the rest of the pallets that they didn't get the first time. They seem to have solved that problem, and we just get an occasional box or so that should have gone somewhere else. We have questions concerning True Advantage and the requirement of the satellite service which we can't get up here. 12 circulars a year for a town of 500??? We are the only game in town, although there are mailorder catalogs, Beaver Lumber, Canadian Tire, and The Superstore 110 miles drive north and Fred Meyers, Costco, and K-Mart 100 air or water miles south. But 12 circs a year??? Whooeee. Shouldn't we have more of these town meetings, maybe even once every 6 months so that Chicagoland stays more in tune with the retailers. I would put the discount in the notes which would show up that next time I entered a voucher for that vendor. I would then have to calculate the discount and put it into the breakdown at the bottom of the entry. I just couldn't figure out a way to print out the latest batch that I entered. I guess that I could have just entered todays date instead of the invoice date in the date field. That may have solved it, but now we are extremely busy and extremely shorthanded until our summer employees are on board (after college lets out!). So next winter, I will try it again. It's beautiful country, but kinda spendy to get here from NH. You can drive from NH to Skagway via the Alaska Highway to Whitehorse, and the Klondike Highway to Skagway. As for selling refrigerators to Eskimos, (1) Eskimos are found much farther north then where we are. We have Tlingets and Haidas in this part of the country. Our weather runs about the same as Seattle s 800 miles southeast of us. (2) Yes, they buy refrigerators up north as the temp can run in the 80's during the summer up north and many don't live near the permafrost, which when dug into, can act as a low cost refrigerator/freezer. It is on the Texas border in the central part of the state. We are probably most famous for the studio that Buddy Holly recorded his music in. This causes lots of problems with EFM and price changes as you get a lot of 50 cent items going to 50 dollars. I am minimizing the problem by adding a D to the end of the SKU for discontinued items that I still want in the system. Actually I have some 12345D and some 123456D depending on the case. I have told my cashiers if they get some dusty old item that won't come up any other way to try the D's. The CAT makes finding these items so much more fun. His two hour presentation wasn't worth my time to travel 800 miles to hear. However, the questions that asked by the dealers at the meeting was pretty good. Here are some of the topics we covered: 1. When we joined True Value, we changed our name in order to make the True Value name stronger. Now that we are twice the size and have the opportunity to have 10,000 dealers under the same name, we are not changing. The group was pretty much in agreement that we have the potential to be one of the strongest co-ops with a unified name. At first, I shutter at the though of another name change. Skagway Hardware went from Pro to Sentry to True Value in the space of about 3 years. But when I think about it, the name change was virtually painless. It was the changing of 25000 SKU's from 7 digit (Morse Hardware) to 8 digit (Jensen Distribution) to 6 digit (True Value) that was the pain. We have been True Value for 3 years now, and have almost 20,000 of our 25,000 SKU's changed. So I'd be willing to change to a different name if the rest of the 10,000 retailers do. Whooee! I like it! Although it might not seem such a good idea for those areas that have True Value competing with a Servistar and/or a Coast to Coast. 2. Circular covers for the shoulder months should have seasonally generic items on it. In February, most of Alaska, and many of the northern, central states are still blanked in winter. Not a good time to have a lawn mower on the front page for those dealers. When you order your circulars, you should be able to select a cover page to mesh with your climate, whether it be Nome, Alaska or Havre, Montana or Honolulu, Hawaii, or Austin, Texas...etc. Maybe a choice of winter, spring, or summer type covers. 3. For those dealers not on the national road system (served by Consolidated Freightways) would be helped in their freight rates by having TruServ negotiate lower prices for their members served by barge or plane. Could you imagine what you would have to charge for your goods if you were paying $25.00 per 100 lbs of freight? Some Alaska communities pay freight from Portland to Seattle via truck, Seattle to Anchorage via barge, and Anchorage to their communities by Airplane. We are pretty lucky in that we pay about $7.00 per 100 lbs from Seattle to Skagway, although sometimes it reaches $15.00 per 100 lbs when we need to ship and don't have much poundage. We will sometimes calculate our freight as a percentage of value when we have low poundage, but high value. Our lumber flats (full at 40,000 lbs) run us about $4.00 per 100 lbs. 4. TruServ floods us with info on price sensitive items and special price points but gives us no assistance or suggestions on blind items. My feelings are that each dealer is different and price sensitive items are not the same between two different dealers. What may be price sensitive to me, may not necessarily be price sensitive to a dealer in Juneau. We deal with markups on a line by line item in the MPO's. Items that we consider price sensitive are A items that are also carried at the grocery store, the video store, and gas station, and the local sporting goods store. I overheard one dealer at a market in St. Louis mention that if the dealers used all True Value's suggested retails, they would go broke fast. 5. Dan Cotter mentioned that he is planning on retiring December 26, 1999 (his 65th birthday). Paul Pentz will be retiring within a few years and Don Hoy is being prep'd for that position. I don't know anything about Don Hoy. 6. Face-to-Face meetings will be an annual affair. 7. Some of the Triad owners were under the impression that they were year 2000 compliant and some thought that they would be as soon as they upgraded their hardware.....WRONG! Level 20 (which hasn't even been written yet, or at least has not been released) is the only year 2000 compliant software for the Triad systems. I am hearing rumors that those Triad owners who are not on support will not even be able to purchase level 20. Dan Cotter made a note of it and will get back to us on it. 8. Is TruServ going to develop their own computer system and try to get away from Triad? Yes is the answer from Dan Cotter, but no details were given. CIS has the most bang for the buck, but Triad is still the best system available. With the resources that TruServ has, it could put out a nice package in a couple of years and not rake us over the coals price wise. Triad questions: Well, enough about the meeting. I have been having some curious things happening concerning my report printer and Triad computer. Prior to upgrading our computer, we turned off the report printer every night before going home. When we opened up in the morning, we turned it on and it printed out the boot log with no problems. After upgrading, if we turn off the printer and something is sent to it, when you turn the printer on, nothing prints. QUE will show the report active and will just stay that way. You cannot abort the report while it is active. The instructions in the manuals on how to clean the que or stop the que manager do not change the ACTIVE status of the report. The only way that you can change the status of the report is to take the computer down and bring it back up. Then the report is in HOLD status and you can delete it or print it if the printer is on. So now we leave the printer on all the time. Any suggestions? We pay many of our bills with a credit card which does two things. One, it gives us another month to 2 months dating on some of our bills which helps our cash flow when it is at it's lowest in the spring. Two, it helps build our airline mileage for free trips (like to the shows). I usually wait until the credit card statement comes and then enter only those invoices that show up on that statement. It would be nice to enter the invoices into the computer when I get them, and pay them with the credit card when they are due, and then pay the credit card when it comes due. I am experimenting with entering the invoices with a pay-to of the credit card. I am putting the due date on the invoice in the due date under ATMU. I think I may put the credit card due date there and put the invoice due date in the discount date slot. If the invoice doesn't show up on the credit card statement, then I can go in and change the due date to the next month. Any suggestions or comments to keep me out of trouble? Dear Folks, I think the proper request for Tom Hanson's massive art supplies loading problem would be: Does anyone stock these merchandise lines? If so, do you have means to copy skus from the system to a disk? The necessary fields would be description (a good description,please, in light of all the discussion here), manufacturer's part number, retail, cost, number of pieces per standard pack, a vendor ID number for each sku, and UPC code. The coma separated format with quotes around the text would be nice, though Tom could handle most other formats produced by Triad, TruTrac, Dimensions, Uncle George's atomic PC Store management system, Pace, etc. Excel or lotus are good formats. Separate the files by manufacturer and send via email or UPS. Manufacturers will also supply their merchandise lines on disk in various formats. They all seem to understand Excel. I have successfully added new lines to my system for the time it took to add department, class, and fineline numbers to the file before uploading. It's not hard once you get the hang of it. I put 8' of cabinet hardware in my system when I threw out Amerock this way. My club to hit the vendor over the head was: If you don't send me a disk with this information, I will not buy from you, though I will consider an additional 20% discount to reflect the time it takes me to add the information manually to my system.... Watch out for creating your own skus off the system. I have over-written existing skus with new information. I still find one occassionally. After writing the above last night, I started reading the Feb '98 newsletters and found your note about installing a beta test of level 20. Too bad Triad Advice Line doesn't know about it (at least the person I talked to didn't). I was advised last week that level 20 hadn't been written yet. So if it is still being tested after two months, when is it going to become available? I sure hope TruServ forces Triad to make available level 20 to all members with Triad regardless of whether or not they are on Triad Support. About 3 weeks ago, the power went out here and the UPS batteries were dead. The Triad went down and when it came back up, some of the COBOL files were corrupted. I rebuilt them using the OSPREY utilities. I ordered a new UPS, charged it up and put it in. The price $375 from Triad was pretty reasonable. Then I found out that all I needed to do was to disconnect the old UPS from the computer and let it set overnight plugged in so that the batteries would recharge. Oh, well, we have a backup UPS now. Since installing the new one, we have had an intermittant problem. We turn off the console monitor at night when we go home because we don't have a screen saver on it. Four times, now we have powered the monitor up in the morning and crashes the Triad. Hmmm. Would this have something to do with the UPS where both are plugged into? A slight variation in the power of the UPS (from turning on the console monitor) may cause the Triad to crash and reboot???? This is so intermittant, that we can't seem to pinpoint the problem. I did power down the Triad and changed the plugs around on the back of the UPS about a week ago, but it happened again this morning. The employee that turns on the console monitor in the morning says that the three times that it has happened to him, the monitor has made a loud snap when he turned it on. Maybe the monitor is going out??? We just had a new one put in a couple of years ago. Maybe it's too hard on it shutting it off every night. Hmmmm...any suggestions? Maybe I should just plug the monitor into the spare UPS and see if it happens again. Ok, here's another one ....(God! This guy talks alot!!!!).. We send our Triad printed check register to the bookkeeper. She says that she doesn't know what chart of accounts that we are charging each of the invoices to because the check register doesn't show that. Rather than sending her the posted invoices (from ATMU) and having her try to match them, we started putting the chart of accts number in the PURCHASE ORDER field in ATMU. That way it shows up on the check register when you post the checks. Sometimes, though, a check is for purchases and freight. In that case, I put both chart of acct numbers in the PO field and we will pencil in the breakdown before we send her the report. Does anyone know a better way to do this to eliminate us doing redundant work, and using our PO field for purposes other than what it was designed for? Enough of my non-stop chatter. I'd assume this info will be used to prioritize the release of Level 20 to those who most need the Year 2000 features. I'm sure they only went out to current Triad customers. It didn't give a specific date of software release, but I believe Triad is determined to have all customers on Level 20 before the end of 1998. As far as customers who are off support... have you approached Triad? Since I'm on support, I really don't know what the pricing and policy is for folks off support. How about your system hardware? I agree with the concept of a single corporate identification. In fact I think it might be a way of competing with the Big Box image. I think we should push our size, retail sales and the fact that we are also conveniently local. I think it would make a great ad to ask "Who is the largest retail dealer in the world (or something like that)? Answer: your local TruServ Hardware dealer. And then list the total number of stores, countries, and retail sales. Problem is ServiStar had not even begun to assimilate Coast-to-Coast during the nearly five years of their cooperation. Again, I agree, especially coming from the cold northeast. One of my favorite experiences involves a conversation, many years ago, with the manager of a local Diamond Lumber store. I was complaining, at a meeting of lumber dealers in March, just after a heavy snow storm had hit the northeast, of the difficulty of small independent dealers competing with large national chains (talk about anticipating even greater problems). He pointed out that the previous week they had received a truckload of landscape timbers which were now buried somewhere under the foot of snow that had just fallen, making it that more difficult to clear the yard to sell what little lumber people were actually interested in buying in the northeast at that time of the year, and in a week he would have to explain to someone at his headquarters in Texas why they had not been able to sell any landscaping timbers during the national sale. That made me realize that there are some advantages to being small, and it is just a matter of making use of those advantages. Diamond Lumber is gone, as is Grossman's (mostly), HQ is rapidly fading away, and so will Home Depot if we small independents continue to make use of our advantages. We are the mammals to their dinosaurs, and we will probably survive them if we maintain our ability to quickly adapt to market changes. That is one of the uses I would like to see for this forum: a means of exchanging information on the marketplace. Recently when I told my ServiStar salesman, or what ever he was then or is now. about my success selling the Marathon 7 1/4" circular saw blade which I was buying out of a local wharehouse because it was $.75 cheaper there than from my own coop, he suggested that I convert my customers over to a similar blade by Vermont American. I still sell the Marathon about 50 to 1 Vermont American. It is unfortunate how slow ServiStar and also possibly TruServ respond to our input. >4. I have discovered the same thing about ServiStar's pricing. But ServiStar's computer ordering system allows me to specify my pricing on a purchase order. They will send me their price stickers with the price I designate. Many of my items are much higher than they recommend. But many are also much lower. I code all of the items which I do not use their recommended retail, and have the purchase order created by code. Also, many of the items I consider to be price sensitive I do not use round-up pricing. In some cases I just lower the price $.05 ex. $6.94. I do not use ServiStar's recommended pricing on any item which I frequently put on sale, so that the sale price is not significantly lower than my normal retail. I think placing an item with a normal retail of $10.99 on sale for $6.99 gives people the wrong image. I lower the item to a normal retail of $8.24 with a sale price of $6.84 or $7.18. >5. I specifically asked my salesperson about this and was promised that it was. Obviously a lie. Sad to think that a long term relationship was begun with a lie. TruServ should stick to what it knows best(hopefully) being the best supplier for its member stores. Let someone else with more expertise work in the computer area. One of the problems is (which was pointed out at one of our Triad User Group meetings many years ago) that the non-users of the local systems end up paying support for the users. If TruServ has its own system which was developed and is being supported by member funds and the division is not breaking even, then non-users are supporting the users. As to the printer problems: I believe that one of the instructions tells that in the event of a computer shutdown the printers and other periperals should be turned back on before the cpu. I believe that the cpu seeks out and logs on the peripherals. Probably the system boots itself off and on to do maintenance during the night and then does not find the shutoff printer. As a consequence the report is placed into a limbo loop. A similar thing occurs if you accidently invoice a charge which has had all of the items deleted. Then you have to run that stupid utility which clears such invoices. The cost savings is nil (unless some engineer wants to calculate the cost per kilo) and you depend on people to turn these things on. I even put time clocks on some lights and all the thermostats are digital. True the console monitor stays on, but by leaving the console on you will get warning messages if any occur during the wee hours. My monitor is over 4 years old and going strong with no bad burn marks.... The Hardlines Webboard is not a replacement for the Hardlines Email digest (what you're reading right now). It's an additional online forum, that allows you to use an Internet web browser to read and post messages. Messages are arranged by topic, which makes it easier to browse through particular message discussions. An online chat is also available, which will be used for future interactive forums. I've set it up so that messages posted to the Webboard will also appear on the Hardlines Digest. This way, folks that don't want to visit the Webboard (or don't have the time) can still receive the messages in an email format. Some of you participated in the Webboard discussions a few months ago, before some software glitches caused problems (NT 5 beta and Webboard do NOT like each other). Unfortunately, I was not able to save the user information from the old install, so you will need to provide basic info when you first visit the new Webboard. I'm pretty confident in the new install, and the new Webboard is not running on beta software (Windows 98 release canidate actually), so this time the system should work fine. We have been shutting off everything on the Triad except the computer itself every night since 1992. We have had one of our 6 monitors go bad and that was last year, and when we sent it out to Triad to fix, it came back and worked for about 2 days. I called them about it and told the field engineer about it and both said that they would get back to me and neither did. This was last year while we were still on support except that the monitors weren't. The only hardware we had on support was the computer. Having worked as a hardware manager for 2.5 years for a timeshare firm and being in charge of maintainance of about 200 workstations around the state that were hooked to our system, I found that those that turned their systems off at night had fewer problems than those who left theirs on. The reason being that while the units were on, they stayed hot. The hot parts had a tendency to attract dust which seemed to be stirred up by the cleaning people. The dust built up static electricity and at a certain point would discharge causing problems. Sometimes those problems were solved by turning the equipment off and then on again. Other times, the monitor or printer would have to be changed out. I know that the newer monitors have a power down saver which shuts off everything until a key is pressed or the mouse is moved. This is not the case with our equipment. Since we are in an area that is prone to dust, either turning them off at night or cleaning them once a month is the logical alternative. Since we were not having problems turning the report printer off up to our upgrade, I attribute the problems to the new mother board that I had installed. Since we are not on support, I cannot ask Triad for help in tracking down where in their software the loop starts and what part of the hardware would cause it. As for the console monitor, I still think that the UPS might be the cause of the computer rebooting when turning it on in the morning. I will put the back up UPS on the console monitor and try that, but if that doesn't work, your idea of turning down the contrast is good. Yup...another good point. But we have had only one time in which there were errors on the screen when we turned it on, and they matched the errors on the boot log. However, if errors had enough messages, some may scroll off the screen, and you wouldn't see them anyway. The boot log should pick those up. As for the report printer, we have all our reports go to the spooler and when we turned our report printer on at 7:00 am, it would immediately print out the boot log that was sent to it at 2:00am when the Triad takes itself down for automated maintainance. This isn't the case since we upgraded. In fact, if the report printer is off anytime that a report is sent to it, it will lock up the que so that the que shows the report active and everything else in the que quietly sits and waits. The que will show that report active until I reboot the computer. Then it puts it and all other items in the que on hold. When the system comes back up, you have to go into the que and change the status from H to P or A to get it to print or abort. I printed out our RACR report that = runs nightly=20 and noticed that one of the vendors had 4 invoices when I only remember = putting=20 one into the system.  When I looked a little closer, I saw the = dates on the=20 3 that shouldn't be there were from 1995????  I will put in credits = to=20 offset those, but I'm curious to where they came from.  Anyone else = have a=20 similar problem?

A quick example... you order Manco shelf liner (sku # 475225). This item is still in stock, but will be discontinued and replaced by sku 611296. So TruServ ships 475225, but ERP posts 611296. The A-Copy hard copy is correct, but the electronic posting is in error. So, carefully check your Discontinued Items, Extra Item Exception, and Unmatched Quantity sections for these items. However, the convention center was huge, therefore it may have been just that it was more spread out. As usual, some vendors were raving and some were complaining. Beyond that, did anyone see any real interesting new items? Suggest that all show attendees list one really new item and vendor that they saw at the shows. It's difficult for everyone to get everywhere during a show. This should be helpful to all stores. 2. Show attendance in general over the years has been on decrease. Due to a number of reasons such as more stores buying out of warehouse every day, discouragement of buying drop shipments, cost of attending both in transportation/lodging and extra store woman/man power cost. 3. Please do not think that the manufacturer's do this out of the goodness of their heart. When you're negotiating a program with co-op's / distributors, show particpation cost is always lurking in the back of your mind. 4. Are the co-op's / distributors addressing E-commerce's growth and it's impact on these shows? Why do store owners have to see the same stuff every four/six months? Semi-annual shows were intended to have seasonal goods reviewed and economically ordered for the following seasons. I'm having a hard time figuring out how to add addresses. That means it is easy and obvious to a 12 year old, or it could be a bad sign... Here are some items to know for TruServ Central Ship: 1. The "800" number is 888-881-7447. The "trouble-free" line is 1-815-943-5272. 2. Green-bar "A-copies" are always produced at the regional distribution center. These are separate from the warehouse and "hub" a-copies. If you are missing one or more, call the RDC to get one as soon as you can. 3. Central ship merchandise is shippped 24 to 48 hours after your weekly (or biweekly) order deadline. 4. The merchandise is shipped with a packing slip sometimes called a "contents list." This may be some or all of the skus on the corresponding A-copy. 5. The A-copy may read that a line was billed as a quantity of 10. The packing slip may give a quantity shipped of zero. Look for the credit on the following week's Central Ship A-copy. If it does not appear, file a normal claim with the RDC. 6. Packing slips will accompany all mixed cartons (?), but may not be in full-case cartons. 7. Ship laters and mark-outs are handled as they are handled with regular A-copies. 8. CENTRAL SHIP A-COPIES ARE SEPARATED FROM THE WAREHOUSE A-COPIES BY THE DESIGNATION "ups" IN THE UPPER LEFT-HAND CORNER OF THE PAGE. 9. Merchandise shipping boxes will have a TruServ Central Ship barcode label. This label will have the A-copy invoice number on it. Match this to the A-copy. Price tags, if you use them, also have this number. The A-copy invoice number is the date the invoice was produced followed by a three-digit number. 10. The source of A-copy download information is: The CIS data feed for the TruServ Member Communications System (MCS). The Triad ERP reads and processes this information. 11. For Triad Members: ERP will have all sorts of interesting things on it. Use the A-copy listings on the tail end of the report as a check-list to make sure all the a-copies for the order deadline are accounted for. 13. C/S items are listed on the ERP. 14. Don't receipt post the Central Ship (C/S) items with your regular weekly order RRP unless you have considered the consequences. Most people think it best to reject C/S from the order before posting. These are then kept on a separate purchase order until the merchandise physically comes in. Watch out for double postings and duplicate orders. A separate purchase order using the C/S a-copies will minimize these. 15. Remember, if you receipt post your C/S items along with your regular weekly order merchandise, you will first have system QOH's for merchandise not physically in the store. This merchandise will subsequently fail to arrive in direct proportion to warehouse demand, how urgently the item is needed by your customer, or it's over-stock cost value when you double order.... 16. This program was designed to remove slow-moving skus from regional distribution centers and reduce over-all TruServ inventory investment.
